School Cleaning Management for Contractors
School contracts follow the academic calendar, take place around children and safeguarding duties, and are often judged by a business manager with little time. Managing them well takes more than a standard office rota.

How school contracts differ
School cleaning has a rhythm unlike any office contract:
- Term time means daily cleans, usually after pupils leave and sometimes before they arrive.
- Holidays mean reduced daily cleaning but heavy periodic work: deep cleans, floor care and kitchen cleans.
- Lettings and events (parents' evenings, clubs, community hire) add extra cleans at short notice.
- Safeguarding shapes who can work on site, when, and what records you hold.
Safeguarding comes first
Schools in England follow the statutory guidance Keeping children safe in education, which covers checks on contractors working on school sites. The school will want assurance that your staff have the appropriate checks for their role and that you can evidence it.
Practically, that means:
- Know the requirement for each school. Some schools ask for enhanced DBS checks for all contractor staff, whatever their hours.
- Keep certificates and dates on record for every cleaner, with reminders before renewals or update service checks are due.
- Record safeguarding training and who has done it.
- Make sure cover staff are cleared too. An uncleared cover cleaner can put the contract at risk.
- Follow the school's sign-in procedures every time.
Planning the year
Term-time rota
Build daily shifts around the end of the school day, allowing for clubs that keep rooms occupied. Note which areas are priorities, such as toilets, dining halls and early years rooms.
Holiday programme
Agree the holiday deep-clean schedule at the start of the academic year. Treat each task as a scheduled shift with its own checklist, so there's evidence it was done before the term starts.
Lettings and extras
Record extra cleans as shifts once agreed. That gives you attendance, evidence and a clear line to invoice. See cleaning invoicing.
Reporting to the school business manager
School business managers juggle budgets, compliance and premises. Short, regular evidence such as attendance, completed checklists and issues raised and fixed is worth more to them than a long monthly document.

Questions, answered plainly.
Do school cleaners need a DBS check?
Schools must follow Keeping children safe in education, which includes duties around checks on contractors and their staff. The level of check depends on the role and whether cleaners work while children are present. Expect the school to ask what checks you have carried out, and keep clear records.
When should deep cleans be scheduled in schools?
Usually in the longer holidays, especially summer, when buildings are empty for long enough to strip and seal floors, deep clean kitchens and toilets and carry out periodic work. Plan these with the school business manager early in the year.
What evidence do schools expect from cleaning contractors?
Typically attendance, completed checklists, issue reports, and records of staff checks and training. Some schools also want inspection results and evidence of periodic work.
