Cleaning Staff Scheduling and Rota Management Across Every Site
A cleaning rota is unusual. Shifts are short and split across early mornings and evenings, sites are spread out, and one sick call at 5am can unravel a day. Scheduling software keeps that in one place.

Why cleaning rotas are harder than most
Cleaning schedules break the assumptions of generic shift tools:
- Split shifts. Many cleaners work 6–8am at one site and 5–8pm at another.
- Short shifts at many sites. A cleaner might do two hours each at three locations.
- Fixed cleaning windows. Offices must be cleaned before staff arrive. Schools must be cleaned after pupils leave.
- Key and alarm access. Not everyone can cover every site.
- High turnover. New starters need to be scheduled, inducted and shadowed.
For a step-by-step method, read how to create an effective cleaning staff rota.
Build the rota from the contract outwards
- List every site's requirement: days, cleaning window, contracted hours and any specialist tasks.
- Assign regular cleaners to recurring shifts. Consistency matters to clients and improves quality.
- Add travel time between consecutive sites. It affects whether a shift pattern is realistic and may affect pay.
- Name a cover cleaner for every site who has been inducted and has access.
- Check working time. Most adult workers are entitled to 11 hours' rest between working days and a 20-minute break if they work more than 6 hours (GOV.UK). Watch cleaners who work late evenings and early mornings.
Cover is where rotas fail
The real test of a rota is a 5:45am text saying "can't make it today". Good scheduling turns that into a short, calm process:
- You know within minutes that a shift hasn't started, not when the client complains.
- You can see who is free, nearby and inducted at that site.
- The cover cleaner gets the site instructions on their phone, not a voice note about where the key is.
Our guide on how to reduce missed cleaning shifts covers the full cover process.
Holidays and absence
Cleaners are entitled to 5.6 weeks of paid holiday a year, pro rata for part-time staff (GOV.UK). Approving leave in the same system as the rota shows the gap straight away, so cover is planned rather than improvised.

Questions, answered plainly.
How do I make a rota for cleaning staff?
Start from each site's contracted hours and cleaning window, assign regular cleaners to recurring shifts, add travel time between sites, build in named cover for each site, and check the result against working time rules and holiday.
What rest breaks are cleaners entitled to?
Workers aged 18 or over are generally entitled to a 20-minute rest break if they work more than 6 hours a day, 11 hours' rest between working days, and 24 hours off each week or 48 hours each fortnight. GOV.UK sets out the details and exceptions.
How far ahead should a cleaning rota be published?
Regular shifts should be stable and known well in advance. Changes should be published as early as possible. Short-notice changes are a common reason cleaners leave.
