Cleaning Timesheets and Payroll-Ready Hours, Without the Chasing
Paying cleaners correctly depends on knowing the hours they actually worked across several sites and split shifts. Timesheet software built on verified attendance removes most of the chasing and correcting.

Why cleaning payroll is error-prone
Payroll in a cleaning company is rarely a single fixed salary. It's hours across:
- Several sites per cleaner, often with split shifts.
- Overtime and extra cleans requested by clients.
- Cover shifts picked up at short notice.
- Holiday, sickness and unpaid absence.
When those hours arrive on paper or by message, someone has to type, check and correct them every pay period. Mistakes either underpay cleaners, which is a legal and retention risk, or overpay them, which is a margin problem.
From attendance to approved hours
A reliable flow looks like this:
- Shift scheduled on the rota.
- Clock-in and clock-out verified on site (see GPS staff tracking).
- Exceptions flagged: late starts, early finishes, missing clock-outs.
- Manager reviews and approves the timesheet.
- Approved hours go to payroll. Only approved hours, never raw claims.
The approval step matters. It is where you deal with a forgotten clock-out or an agreed extra hour, and it creates an audit trail for every change.
Minimum wage and working time
Cleaning is a sector where minimum wage compliance needs care, because short, split shifts and travel can push effective hourly pay below the legal rate. Check current rates on GOV.UK's National Minimum Wage page. Rates usually change each April.
Watch especially for travel time between sites during a working day, uniform or equipment costs deducted from pay, and unpaid time spent collecting keys or waiting for access.
Records you must keep
HMRC requires payroll records, including hours, pay and deductions, for 3 years from the end of the tax year they relate to (GOV.UK). Verified, approved timesheets stored in one system make that straightforward.
Timesheet software and payroll software are different
It's worth being clear about the boundary:
- Timesheet and wage software works out who worked what and what it costs.
- Payroll software or a bureau calculates tax and National Insurance, produces payslips and makes Real Time Information submissions to HMRC.
Some platforms do both. Many hand approved hours to a payroll provider. Know which you need before you choose.

Running payroll and RTI submissions to HMRC
Not confirmed. Ask WhiteIQ whether it runs payroll or hands approved hours to your payroll provider.
Questions, answered plainly.
Does WhiteIQ run payroll and submit to HMRC?
WhiteIQ's published plans list timesheets, payroll-ready approved timesheets, wage-cost and wage calculation reports and accounting exports. Whether it processes payroll and makes Real Time Information submissions to HMRC isn't something we could confirm. Contact WhiteIQ for availability.
How long must I keep payroll records?
HMRC requires employers to keep payroll records, including pay, deductions and hours, for 3 years from the end of the tax year they relate to.
Do cleaners need to be paid for travel between sites?
It can affect minimum wage compliance. Time spent travelling between assignments during the working day generally counts as working time for National Minimum Wage purposes. Check GOV.UK guidance or take advice for your situation.
