For owners and directors
Cleaning Business Management Software, From Contract to Payslip
For an owner, cleaning is the easy part. The hard part is the back office around it, from staff records and holidays to compliance documents, hours, wages and knowing which contracts actually make money.

The owner's real job
In a cleaning company with a dozen contracts, the owner or operations director typically spends their week on things that aren't cleaning:
- Chasing timesheets and correcting hours before payroll.
- Approving holidays and then finding cover.
- Checking whether DBS checks and training are up to date before a new school contract starts.
- Answering client questions about missed or late cleans.
- Working out why margins on a contract have slipped.
Each of these is manageable on its own. Together, they are why many cleaning businesses stall at the size one person can supervise. For the full picture of what running the business involves, see our guide to starting and managing a commercial cleaning business in the UK.
The records you are legally responsible for
UK employers carry obligations that are easy to fall behind on when records are scattered:
- Right to work. You must check every employee's right to work in the UK before they start (GOV.UK).
- Written statement of employment particulars. Employees and workers are entitled to this from day one (GOV.UK).
- Payroll records. HMRC expects records of pay, deductions and hours for 3 years from the end of the tax year they relate to (GOV.UK).
- Holiday. Most workers are entitled to 5.6 weeks of paid holiday a year (GOV.UK).
- Employers' liability insurance. Required by law for most employers (GOV.UK).
Software won't make these decisions for you. It can make sure the evidence is in one place and that expiry dates don't slip past unnoticed.
Profit lives at site level
Labour is usually the biggest cost on a cleaning contract. A contract priced at 20 hours a week that regularly takes 23 is losing money every week, and nobody notices until year-end.
The fix is to compare contracted hours with verified actual hours for every site, every week. When those numbers come from the same rota that drives attendance and payroll, the comparison is automatic rather than a monthly spreadsheet exercise.
A practical back-office checklist
- One record per employee: contact details, contract, right-to-work evidence, DBS (where needed), training.
- One rota that drives attendance, timesheets and holiday cover.
- Approved hours go to payroll, not claimed hours.
- Expiry dates on documents trigger reminders weeks ahead.
- Monthly review of contracted against actual hours per site.

Questions, answered plainly.
What back-office records does a UK cleaning company need to keep?
At a minimum you need employee records and written statements of employment particulars, right-to-work checks, payroll records (HMRC requires these to be kept for 3 years from the end of the tax year they relate to), holiday records and records of working time.
Can software tell me which contracts are profitable?
Only if it knows both what each contract earns and what labour it actually consumes. WhiteIQ lists site profitability reporting and labour-cost monitoring on its Professional plan.
Do I still need an accountant?
Yes. Operational software organises the information your accountant or payroll bureau needs, but it does not replace professional advice on tax, VAT or employment law.
