Billing

Cleaning Company Invoicing Built From the Work Actually Delivered

Cleaning invoices go wrong in predictable ways. Extra cleans are forgotten, contract changes aren't applied and there's no evidence when a client queries a line. Invoicing from the rota fixes the root cause.

Where cleaning invoices go wrong

Most billing problems in cleaning companies come from information that never reaches the person raising the invoice:

  • Extra work (a one-off deep clean, cover for an event, additional hours) agreed by phone and never recorded.
  • Contract changes such as a new floor or reduced days applied to the rota but not to billing.
  • Missed or reduced cleans that should trigger a credit, discovered by the client first.
  • No evidence to support a line when it's queried.

Each one costs money or credibility. Usually both.

Invoice from the record, not the memory

The reliable approach is to make the rota the single record of what was delivered:

  1. Contracted work is on the rota as recurring shifts.
  2. Extras are added to the rota as shifts once the client approves them.
  3. Attendance and evidence confirm delivery.
  4. Draft invoices are produced from that record, then reviewed and sent.

When a client queries "additional hours, 14 October", you can show the request, the shift, the clock-in and the checklist.

UK invoicing basics

If you're VAT-registered, invoices must contain specific information (GOV.UK). Registration is required when VAT-taxable turnover passes the threshold, which has been £90,000 since April 2024 (GOV.UK). Many commercial clients also require purchase order numbers or specific references on invoices, so capture those against each contract.

Watch the margin, not just the invoice

Billing accurately is half the picture. The other half is whether each contract earns more than it costs. Comparing contracted hours with actual hours per site shows where you're over-delivering for free. That's a pricing conversation to have at renewal, with evidence.

Questions, answered plainly.

What must a UK VAT invoice include?

A full VAT invoice includes a unique invoice number, your business name and address, your VAT registration number, the invoice date, the time of supply if different, the customer's name and address, a description of the services, and the net amount, VAT rate and VAT amount. GOV.UK sets out the full list.

When does a cleaning company need to register for VAT?

You must register if your VAT-taxable turnover goes over the registration threshold in a rolling 12-month period. The threshold has been £90,000 since April 2024. Check GOV.UK for the current figure.

How should I bill for extra cleans requested by the client?

Record the request and approval, schedule it as a shift so attendance and evidence are captured, and bill it from that record. That gives you a clear answer if the line is queried.
