Multi-Site Cleaning Management Without Losing Control
Growth changes the job. With five sites you can visit every one. With fifty across three regions you manage through supervisors and data. The question becomes whether that data is trustworthy and in one place.

The point where it changes
Most cleaning companies hit a wall around the size one person can personally supervise. Beyond that, the owner hears about problems late, standards drift between sites and nobody is sure which contracts are profitable.
WhiteIQ's own website puts it plainly. Spreadsheets and WhatsApp groups hold "until the fourth contract". For a practical playbook, read how to manage cleaning staff across multiple locations.
Structure before software
Software amplifies whatever structure you have. Before adding tools, get clear on:
Regions and ownership
Group sites into regions or patches, each with a named supervisor or area manager who owns coverage, standards and client relationships.
Standard operating procedures
The same induction, checklists, inspection scoring and cover process everywhere. Local variation should be written down in site instructions, not left in someone's head.
A small set of numbers
Pick a handful of measures everyone understands and review them weekly, by site and by region.
The numbers that matter
| Measure | Why it matters |
|---|---|
| Shifts started on time | The earliest warning of a coverage problem |
| Checklist completion | Whether specified work is being recorded |
| Inspection scores by area | Where standards are slipping |
| Issue resolution time | How responsive you are to clients |
| Contracted against actual hours | Which sites are losing money |
| Staff turnover by site | Where your next coverage problem will come from |
Supervisors are the multiplier
In a multi-site business, supervisors carry most of the operational load. Give them a view of their sites only, a clear visit and audit plan, and alerts when something needs them, rather than a daily phone call from head office.

Questions, answered plainly.
How many sites can one supervisor manage?
It depends on geography, site size and risk, not a fixed number. Supervisors covering spread-out or high-risk sites can manage fewer. Measure it by whether they can complete their planned visits and audits each week.
What KPIs matter most for multi-site cleaning?
Shift coverage (scheduled shifts started on time), checklist completion, inspection scores, issue resolution time, staff turnover and contracted against actual hours by site.
Which WhiteIQ plan covers multi-site operations?
WhiteIQ's published plans set site allowances of up to 5 sites on Essential, 20 on Growth and 50 on Professional, with Enterprise for more than 50. Check whiteiq.co.uk for current allowances.
