Client reporting
A Cleaning Client Portal Your Clients Will Actually Open
Most cleaning companies report to clients by assembling spreadsheets, photos and emails at the end of the month. A client portal turns that into a live, read-only view the client can open whenever they like.

The monthly report problem
Ask a cleaning operations manager what they do in the first week of each month and many will say "reports". Pulling attendance from one place, checklist results from another and photos from a phone, then formatting it all into something a client will read, takes hours per client.
Worse, by the time the report arrives, it's history. If a problem happened on the 3rd, the client found out on the 3rd, probably by walking into an uncleaned room.
What a portal changes
A client portal gives your client read-only access to their own sites, showing:
- Which cleans happened, and when.
- Checklist completion and inspection scores.
- Open issues and actions, and when they were closed.
- Trends over weeks and months.
The client stops needing to ask, and you stop needing to assemble. Good client reporting is also one of the strongest arguments at renewal, because the record of delivery is already in front of the decision-maker.
Designing reporting clients value
Lead with what they care about
Facilities managers care about coverage, standards and responsiveness, not your internal rota. Put those first.
Be honest about misses
A report that never shows a problem isn't believed. Showing a missed clean with the cover arranged and the reason recorded builds more trust than a perfect record.
Keep a regular rhythm
A weekly or monthly scheduled report alongside the live portal suits clients who prefer something in their inbox.
Protect everyone's data
Clients should only see their own sites. Staff personal data such as phone numbers and pay should never appear.
From visibility to renewal
Contracts are often lost at renewal not because the work was poor, but because the client couldn't see it was good. When the facilities manager can show their own board 12 months of evidence, renewal becomes much easier. Proof starts on the ground. See proof of cleaning software.

Questions, answered plainly.
What should a commercial cleaning client report include?
Useful reports cover attendance against scheduled shifts, checklist completion by area, inspection scores, issues raised and how quickly they were resolved, and any periodic work completed in the period.
Will clients see everything in the portal?
A well-designed portal shows each client only their own sites and only client-appropriate information. Internal notes, pay rates and other clients' data should never be visible.
Does a portal replace account management?
No. It removes the routine "was it done?" questions so that account meetings can focus on improvements and the relationship.
